Music Library Staff Guide: Loan Periods and Fines

Loan Periods

Books and Scores:

  • Faculty and Library Staff – 1 year
  • Undergraduates – 28 days
  • Graduate Students – 90 days
  • Pre-College and Adult Students – 28 days
  • Staff – 28 days

Collected Editions (M2s and M3s), Journals, and Reference Books:

  • These items do not circulate. If a faculty member or student needs to use these materials outside of the library, get a supervisor.

CDs and DVDs:

  • Faculty – 90 days
  • All Students – 7 days
  • All Staff – 7 days
  • Pre-College and Adult Students – 2 hours; in-library use only.

LPs, VHS tapes, Laser Discs, and Cassettes:

  • Faculty – 90 days
  • All Students – 2 hours; in-library use only.
  • All Staff – 2 hours; in-library use only.
  • Pre-College and Adult Students – 2 hours; in-library use only.

Reserve Materials – Library Copy:

  • Reserve materials circulate for two hours, and they are to be used inside the library. Students may use only two reserve items at a time, regardless of their format. Professors may take reserves out for teaching purposes. A professor can use reserve materials for his or her own class for more than two hours but cannot take out another professor’s reserves for more than two hours. Reserves may be taken out overnight if they are checked out within the last hour that the library is open.

Reserve Materials – Faculty Personal Copy:

  • Personal reserves are for in-library use only! They may not be checked out overnight. Only the faculty member who owns the item may take it out of the library.

Loanable Equipment:

  • The Music Library has a number of loanable electronic equipment available to users, including headphones, audio recorders, camcorders, SD cards, microphones, phone chargers, and more. For a full list of all the equipment with pictures, go here (Equipment tab of Staff Guide). This equipment is located in the locked equipment cabinet behind the circulation desk, on the shelves next to the equipment cabinet, or in the drawer next to the circulation workstation. The loan period for the equipment varies, so check the due date when you check out an item! Remember to plug back in equipment such as phone chargers so they are fully charged for our users!

Most equipment, books, and scores can be renewed up to four times. CDs and DVDs can only be renewed twice.

Fines

Books and Scores = $0.20 per day; maximum of $15.00 per item (one week grace period)

CDs and DVDs = $10.00 per day; maximum of $100.00 per item (one day grace period)

Reserves and Other In-Library Use Materials = $0.60 per hour; maximum of $15.00 per item.

Recall Fines = $1.00 per day; maximum of $15.00 per item.

Users can extend the due date of most library items (items eligible for fines are not renewable online) by signing into the library catalog. Recalled items are not eligible for renewal and must be returned by the recall date due. Severely overdue items are billed to the user's account after three courtesy overdue notices. Users are responsible for returning library items regardless of whether courtesy notices are read or mis-delivered (update your contact information with the Registrar's Office or Human Resources, if Vanderbilt student, faculty or staff; other users may update their contact info at the service desk in any library.) The amounts billed will be the replacement cost of the item or a flat fee of $75, and a non-refundable billing fee of $25.

If an item is 30 days overdue or returned in a damaged or incomplete state, the user will be billed for the replacement cost, or a flat fee of $75, plus a processing fee of $25.

Student fines and bills are transferred weekly (Sunday of each week) to Student Accounts.
