Answering the Phone

When answering the phone, please say, “Vanderbilt Music Library, how may I help you?.” Be as helpful as possible and take messages when needed. If the person asks to speak to a specific staff member, you can transfer the call to his or her office. To do this, press the transfer button, dial the last five digits of the staff member’s phone number (phone numbers are posted on the card behind the phone), and press transfer again. As soon as you have transferred the call, you should hang up the phone. The person on the other end of the line does not need to pick up the phone first.

Please remember that the telephone is not to be used for personal use by student employees or library users. Long distance phone calls are strictly forbidden.

Sales Calls

If you receive a phone call from a sales representative or a media representative, always transfer the call to Holling (2-5227). Do not answer any questions from sales representatives regarding products that the library may or may not possess. Simply let the caller know that they will have to speak to your supervisor. 

Digits

  • On-campus numbers require only the last five digits of the number (for example, 615-343-2800 is 3-2800 from an on-campus phone).
  • You must dial '9' to make a local off-campus/an area-code-615 phone call (ex. 9-555-5555)
  • You must precede non-area-code-615 phones calls with 9 + 1 (ex. 9 1 435-890-1234)
