Music Library Staff Guide: Closing

Closing Procedures

It is very likely that you and another student employee will be the only ones left to close the library at the end of the day. Follow these procedures:

At 8:30 (or 3:30 if the library closes at 5 p.m.):

  • Wipe down tables and carrels with disinfectant and paper towels
  • Replenish paper in the printers
  • Replenish pencils at the circulation desk.

30 minutes before closing:

  • Perform rounds
    • Retrieve un-shelved materials from tables, carts, shelves, etc.
      • Scan items back into Alma and place them in the pre-shelving area.
        • Go to “Fulfillment” and then “Scan In Items.”
        • Make sure "Register in-house use" is checked
        • Scan the item barcode into the field.
        • The system will tell you where an item should be routed. Most of the time it simply needs to be reshelved, so add the item to the reshelving area behind the desk.
      • Push in chairs, conduct general straightening of the library.
      • Recycle abandoned paper, pick up trash left by users, look for any other items that may have been left behind and put them in lost and found.
        • Valuable lost and found items should be put in the safe: tell a full-time staff member about it and ask for the combination
  • Empty the dehumidifier buckets in the storage room
  • Make note of location of remaining users and any unattended valuables.

10 minutes before closing:

  • Lock the equipment file cabinet and the key box
  • Make a final sweep of the library; remind users that the library is closing
  • Turn off lights in areas of the library that are not being used
  • Turn off the lights in the seminar room. Leave the seminar room door open to let the room air out overnight
  • Lock and close the special collections/listening room doors
  • Turn off the monitor (but not the computer) used for digital signage
  • Sign off of the computer at the reference station

At closing:

  • Inform any remaining users that the library is now closed
  • Turn off remaining lights in the library. Turn off any equipment missed during the final sweep, being careful to not turn the lights out on stragglers
  • Turn off the lights in the staff room and close the staff room door
  • Sign off of the circulation and reference workstations.
  • If you turned on one of the space heaters, make sure it is turned off and unplugged!
  • Secure the doors of the library; pull at the handle of each door to make sure both are locked.
