Definitions

Holds are pending and realized requests that an item be set aside for the requestor upon return or routing from an off-site location.  Some campus libraries will pull items from their stacks and place them on the hold shelf at a user's request.

Recalls are a special type of hold.  Recall requests automatically generate email notices to the user who currently has the item charged. Such notices include a note that the item is needed by another user and, in some cases, an updated shorter loan period.

Creating a Recall Request

Users can create recall requests by searching for items WHILE SIGNED IN and clicking "Request" in the full record view in the Library Catalog under 'Get It:'

 

 

Fragile Annex Items from the Hold Shelf

Many Annex titles are simply too rare or fragile to circulate outside the library.  These will be labeled as "In-House Use Only". 

When retrieving these titles from the hold shelve for the requesting patron, you'll need to explain why there are limits on the material's use (most commonly fragility) and that the item must stay inside the library.  Ask that the user not remove the white paper sleeve.

Fragile items are usually designated as non-circulating materials in Alma.  The Central library holds user IDs (kept in a designated box) while the requesting patron uses the book.  Other libraries create a short loan period (usually 2 hours) by Changing the Due Date in Alma.  Consult your supervisor for your library's procedures on the use of "In-House Use Only" items.

Placing a Hold/Recall Request

Look up the item in Alma: If you have a title, it is pretty simple to search for Physical Item by Title using the search bar: If you have the title in hand (for example, someone is returning a book requested by another patron and wishes to recall it right back) you can select 'Barcode' instead of 'Title' in the search bar and scan the item.

If the item is able to be recalled, it should have a Status other than 'Item is in place.' If the 'Item is in Place,' then it should be available in the stacks. Click on 'Request' to make the request:

Choose 'Patron physical item request' for Request Type:

Look up and select the User, select a pick-up library and click submit.

Removing Holds

Under certain circumstances library staff may need to remove an item hold.  Common examples are when a patron recalls an item and later asks that the item be charged to a carrel upon arrival, or when a professor recalls an item and then requests it to be delivered through Faculty Delivery.

Remove the hold before checking out to the requested account.
