Step 2: Prepare Your Media File

  1. Navigate to the Digitization Preservation Holding folder in Vanderbilt’s shared drive:

  1. Open the folder with files you would like to upload. Put this window to one side and open the “media” folder in the Aviary package template you downloaded. Copy the shared drive’s “Web Copy” version of each audio or video file and paste into this “media” folder.

  1. You can use the search function to copy all the web copy files at once, without having to open each resource’s folder.  For video files, search for “mp4 video,” and for audio files, search for “mp3 format.”  This will provide only the web copy files, not the preservation or associated descriptive files.  Once the search is complete, select all and copy and paste the web copy files into your “media” folder.

  1. Compress your folder of files into a single ZIP file. 
  • On a PC, right click your folder and select “Send to” “Compressed (zipped) folder.” 
  • On a Mac, right click your folder and select “Compress [folder title].” 

Aviary notes that your ZIP file cannot be larger than 50GB in total size, but the platform often has a difficult time processing ZIP files larger than 20GB. Also note that uploading media files as ZIP files requires a stable network connection with sufficient bandwidth.
