Placing Holds & Recalling Items

To place a hold:

  1.  Click on the Place Hold Wizard (under Holds in the Circulation module).
  2. Swipe the user’s Vanderbilt ID or look up the user with the User Search Helper ().
  3. Look up the item by using the Item Search Helper ().
  4. Under Hold Info:
    • Choose a pickup library from the Pickup at drop-down menu.
    • The Expires field should be left blank (allowed to default to NEVER) unless a user expresses a date after which they will no longer need an item.
    • The comments field may be used for staff notes (ex. Needed for MUSL-154 Reserves).
    • Both the Date suspended and Date unsuspended fields may be disregarded (they may not be available; these may be removed by right clicking on the Place Hold Wizard and selecting Properties).
  5. Under Level/Range:
    • When using the radio buttons adjacent to Level, always choose Copy.  
    • When using the radio buttons adjacent to Range, Library should be selected to fulfill the hold with items from your library. To allow fulfillment of the hold using copies from other campus libraries, select System.
  6. Under Recall status:
    • Standard recalls can be created by selecting Allow Recall.  To create a hold on an item without recalling it, select No Recall.  To recall the item immediately (usually for reserves) select Recall now (RUSH).  Rush recalls should only be placed with permission of the circulation supervisor.
    • Make hold first in queue will give the hold precedence over all other holds.
    • The Reserve Hold option (this may or may not be set to display) is only for placing holds on reserve materials.  Standard Holds on reserve items will not be available to users as long as the item is on reserve
  7. Click on Place Hold at the bottom of the window.

Calculating Recall Due Dates

Users will have 14 days of “undisturbed use” of the recalled item. If the user has already had the item 14 days at the time of recall, they will receive a recall notice the day after it's placed. If the user has had the recalled item fewer than 14 days, they will receive a courtesy "Soon to be recalled" notice the day after the recall is placed and then a recall notice after the 14th day.

This does not apply to RUSH recalls.
