Modifying Reserve Records

An item may be placed on reserve for more than one instructor or course. To associate an additional instructor and/or course with a reserve record: 

  1. Click on the Individual Reserve Wizard under Reserve Information and Maintenance
  2. A Set Session Settings window may appear (if it does not proceed to step 3). The Reserve desk should be the reserve desk of your library in both instances.Click on OK at the bottom of the window.
  3. An Individual Reserve window will appear. Place the cursor in the Item ID field and scan the barcode of the item.
  4. Instructors and courses currently associated with the reserve record will display in the Individual Reserve tab. Click on Add Instructor/Course Record.
  5. In the resultant window:
  • Instructor ID: Use the adjacent wizard to search for the user account of the faculty member the item or items are to be placed on reserve for.
  • Select ACTIVE from the dropdown menu.
  • Course ID: Use the adjacent wizard to find the course record of the course the item is to be placed on reserve for.
  • Enter the same date that was entered in the Basic Information tab.

6. Click on Add Instructor/Course Record again when finished.

Use the Modify Reserve wizard to modify properties of active reserves, such as loan period or an additional copy’s reserve status.

To modify a reserve record,

  1. Open the Modify Reserve Wizard in the Reserve Information and Maintenance box.
  2. Scan the item barcode or use the item search.
  3. Make necessary changes, and click Modify.

There is no function for global editing. To modify records’ statuses and stages, modify each reserve record individually.

To remove the reserve status of an individual item:

  1. Click on the Remove Reserve Wizard in the Reserve Information and Maintenance box.
  2. The Set Session Settings window may appear (if it does not proceed to step 3). Choose the desk where the item is on reserve for both dropdown menus.
  3. The Remove Reserve window will appear. Scan the item barcode.
  4. Click the Remove Reserve button.
  5. A Confirmation pop-up will appear. Click Yes.
  6. A Complete window will appear. Click OK.
  7. Carefully remove any reserve labels.
  8. Discharge items and reshelve. If borrowed, return items to the owning library.

Before title/provisional records can be deleted, items must be taken off reserve.

To delete a title/provisional record:

  1. Under the Cataloging tab, in the Titles box, click Delete Title, Call Numbers or Items.
  2. Select Item ID from the index drop down menu and scan the barcode.
  3. Select all boxes in the Call Number/Item tab.
  4. Click Delete.
  5. A Confirmation box will pop up. Click Yes.
