Charging, Discharging, Renewing

IMPORTANT: Be sure to watch the screen throughout the entire transaction.

Charging, Discharging, Renewing

  1. Click on Check Out under Common Tasks in the Circulation tab
  2. Swipe the user’s Commodore Card or Library ID
  • If the user has a Commodore/library card but has neglected to bring it to the library, ask for photo ID or, if it is a student, have them log in to their YES account. Click the User Search Helper ()and enter their name.
  • If the user does not have a library account, see the User Record Tab for account creation procedures
  • Watch the Screen!  Some user status alerts will affect the user’s ability to charge items.  The most common user status alerts are described here.
  1. Scan the barcode of each item. 
  2. Watch the Screen!  Remember that WorkFlows has several alerts that require staff attention. See common Item Alerts here 
  3. Desensitize all items except magnetic media items 
  4. Close the Check Out wizard

Alternate Due Dates

After following steps 1 and 2 under Charging Items, follow these steps:

  1. In the Check Out wizard, click on the Special Due Date button ().
  2. A "CheckOut: Enter Special Due Date" pop up will appear. Use the Helper ()next to the Special Due Date box to choose an alternate due date.
  3. Next to Use Special Due Date:
    1. The “From now on” option means the alternate due date will be in effect for this whole transaction.
    2. Disregard “For this user only”.
    3. The “For this checkout only option” means the alternate due will only be in effect for the next item charged.

Follow steps 4-6 under Charging Items.

Make sure each item is removed from the user’s account.  Never rely on the confirmational sounds produced by the scanner.

Damaged items or items missing pieces should not be discharged but should be given to the circulation supervisor.

To discharge an item:

  1. Click on the Discharging Wizard (under Common tasks in the Circulation tab)
  2. Scan the barcode of each item
  3. Watch the Screen!  Remember that WorkFlows has several alerts that require staff attention. See possible item alerts here.
  4. Sensitize each item except magnetic media items  
  5. Return each item to the appropriate area (pre-shelving area, reserves, owning library, etc.)
    • If item belongs to another library, discharging it will put it In Transit to its owning library. Put the item in the proper location to be picked up by the messenger

The first renewal method requires only the item(s) that the user wishes to renew.  

To renew an individual item with the item in hand:

  1. Click on the Renew Item Wizard (under Common Tasksin the Circulation tab).
  2. Scan the item barcode.
  3. If the renewal limit has been reached, a box requesting an override code will pop up. At this point you may cancel the renewal, discharge the item and re-charge it to the patron

The second method only requires the user’s card.  

  1. Click on the Renew User Wizard (under Common Tasks in the Circulation tab).
  2. Swipe the user’s ID
  3. If the user requests that all items be renewed check the box next to Select All.  To renew individual items, click in the box next to each item under the Renew column
  4. Click on the Renew Selected Items button at the bottom of the window
  5. Supply an override code when prompted (if appropriate).  Staff members may have to supply the same override code several times.

Charging:

  3. Close the Check Out wizard

Discharging:

  2. Scan the barcode
  3. A piece count window will pop up. CHECK FOR ALL 5 PIECES: power adapter, mouse, ethernet cable, laptop, bag. Enter the override code
  4. Close the Discharging Wizard
