Renewing User Records

When a user's privileges have expired, renew it as follows, based on the user type:

Click the Modify User wizard in the User box

Student

These records should be updated automatically, but if a current student has expired privileges:

  1. Call the student's registrar
    • If the student is an undergraduate, call the University Registrar: (615) 322-7701
    • If the student is a graduate student, call their school's registrar
  2. Once enrollment is verified by the registrar, change the expiration date in the Privilege tab of the user's record
    • Check a record of the same user type and use the same expiration date
    • Once the records are loaded, the expiration date should be corrected
  3. Enter the override in the first Override box
  4. Click Modify User

Faculty/Staff

These records should be updated automatically, but if a current staff or faculty has expired privileges:

  1. Call the staff or faculty's department to verify employment
    • If the department is unable to answer, verify through HR. (615) 343-7000
  2. Once employment is verified, change the expiration date in the Privilege tab of the user's record
    • Check a record of the same user type and use the same expiration date
    • Once the records are loaded, the expiration date should be corrected
  3. Enter the override in the first Override box
  4. Click Modify User

Other Users

  1. Verify user's address, phone number, and email address and change if necessary
  2. Change the expiration date to one year from the current date in the Privilege tab of the user's record
  3. Enter the override in the first Override box
  4. Click Modify User
